ARIADNE AI agents for tailor-made travel, by Ozymind
- EnquiryIntake agent
- ConceptDesign agent
- ProposalProposal agent
- Priced offerPricing agent
Your travel designers are paid to design trips. Yet most of their day goes to chasing details, retyping supplier quotes and pricing in Excel. ARIADNE is a chain of four AI agents that takes that work off their desk. It reads the enquiry, shapes the trip, turns the DMC quote into a proposal and prices it under your rules. Your designers check, adjust and send.
- Built with a tailor-made travel agency
- Runs on Microsoft 365 and your CRM
- Hosted in the region you choose
Your experts are doing admin
Tailor-made travel sells on expertise. But a proposal is mostly paperwork. This is where one of our clients started, measured before we built anything.
None of this is a people problem. Every DMC quote arrives in a different shape, the margin rules are nowhere in one place, and the figures are typed by hand. Errors are found late, or never.
Four agents, one thread
Each agent picks up where the previous one stopped. Nothing is typed twice, and your team approves every step that leaves the building.
-
01
Intake
Reads every enquiry already in your CRM, from an email or a recorded call. Fills in a structured trip card, rates how complete the enquiry is, and writes the follow-up questions in French, Dutch or English.
Your designer reviews the questions and sends them from the CRM.
-
02
Design
Builds one to three trip concepts from a clear brief, using the trips you already sold and the destination content you approved. Explains its choices. Flags what is unclear instead of making it up.
Your designer picks a direction and shapes it.
-
03
Proposal
Reads the DMC quote in any format: Excel, PDF, scan or email. Pulls out every stay, room, service, transfer and date, each linked to its source, and writes the proposal in your brand voice.
Your designer works through what it flags as missing or contradictory.
-
04
Pricing
Prices the same items in plain, tested code, under the rules your commercial owner signed. Applies margins, seasons, taxes and currency. Blocks any offer below the minimum margin.
Your designer validates one document and sends it once.
The rule we never break
The AI writes the words. Your rules write the price.
A language model is great at reading a messy quote. It has no business touching your margins. So the trip and the price are built by separate modules and put together in one document.
- Signed rules. Your commercial owner writes the pricing rules down and signs them, often for the first time.
- Full history. Every change to the rules is kept, so you always know which rules priced an offer.
- Margin floor. An offer below the minimum margin is blocked until the commercial owner releases it, on the record.
- Figure checks. Every figure is checked against the number it came from. A mismatch is shown, never hidden.
- Private rates. Net rates and margins never reach the AI service.
- Clean repricing. A revised quote goes through the same rules, and the previous version is kept.
No new platform to buy
ARIADNE runs on the tools your agency already pays for. That removes the heaviest part of the work, and most of the cost that goes with it.
What you already have
- Microsoft 365 with Copilot
- Your CRM, where the enquiries already land
- Your mailboxes and shared drive
- Your past trips and destination content
What we add
- The four agents, connected to those sources
- Automatic checks on every result
- A review step where your team approves
- A log of every run, and a cap on AI spending
Start with one brand or one team. Adding the next one is setup and content, not a rebuild.
Safe by design
Travel files hold personal data, and some of it is sensitive: a health condition, a food allergy, a passport. The guardrails are part of the design, not a layer added at the end.
- Hosted in your region. Your data stays in the region you choose. The AI service works under a data processing agreement and never trains on your data.
- Sensitive details stripped. Health and dietary information is removed before any text reaches the AI. The real values stay in your storage.
- ID documents stay out. Passports and ID documents never go to the AI.
- Checked before you see it. Figures, required fields and sources are verified automatically on every result.
- A log nobody can edit. Every run is recorded and kept for at least six months.
- A person signs off. Nothing reaches a traveller without a named person approving it.
What ARIADNE will never do
- Score a person. It rates how complete an enquiry is, never the client.
- Use health or dietary data in a rating.
- Drop an enquiry because of its score.
- Write or change a price.
- Send anything to a traveller on its own.
That keeps the agents in the limited-risk tier of the EU AI Act, with the required AI labels built in.
Live in six weeks
A first wave takes about six weeks. It runs on your real enquiries and quotes from the first week, and every phase ends with a working demo and a decision.
-
Week 1
Kick-off
Access set up, the AI service approved, today’s timings measured, and the first workshop on the trip card.
-
Week 2
The front door
The platform configured and governed. The intake agent running on real enquiries, with the rating tuned alongside your designers.
-
Weeks 3 to 4
Design and pricing
The content library loaded, the design agent working on real briefs, and the pricing rules written down and signed.
-
Week 5
The workhorse
The proposal and pricing agents finished and tested on twenty reference quotes, against the time it took before.
-
Week 6
Handover
Training, a user guide, a handover pack, and a clear plan for the next wave.
How we work together
One scope, one fixed price
Agreed up front, deliverable by deliverable. No billing per agent, so the effort goes where the value is.
Accepted on evidence
Each agent is accepted on a working demo, against criteria agreed before the build. Not on a document.
Sized on your quotes
A sample of 50 of your real quotes turns our estimate into a measurement, early, while there is room to adjust.
Yours to keep
The agents, the trip card, the pricing rules, the content library and the logs belong to you.
Your team, enabled
The software is half the job. The other half is the people who will use it every day. We build with them, not for them.
- Built with your pioneers. A few of your designers shape the trip card with us, test every draft and tune the rating against their own judgement.
- Coaching, not a manual. Workshops while we build, training before handover, and a user guide your team will actually read.
- Reusable from day one. The trip card, the quote reader and the test sets are built once and reused by every next agent. The second wave comes faster than the first.
- A clean handover. How it is built, how it runs, how to configure it and where its limits are, all written down.
What comes next
Once the first thread runs, the same pieces power the next agents.
- Campaigns and marketing content
- Travel documents
- Booking checks
- Trip monitoring
- Traveller feedback
- Supplier scoring
Measured, not claimed
We measure your starting point before we build, and read every delivery against it.
| Measure | Typical starting point | Read when |
|---|---|---|
| Time to produce a proposal | About 8 hours, by hand | The proposal agent is delivered |
| Accuracy of the figures | Typed by hand, errors found late | The pricing agent is delivered |
| Enquiry to usable brief | Several emails over several days | The intake agent is delivered |
| Price gaps on similar trips | Two designers, two prices | The pricing agent is delivered |
| Rating against designer judgement | No rating exists | The intake agent is delivered |
No revenue claim without the evidence to back it. Read how we built it.
Questions we get asked
Will this replace our travel designers?
No. It takes the admin off their desk so they spend their time on design and on clients. A designer approves every question, concept and offer before it goes out.
Do we need Microsoft Copilot and a CRM?
They make the first wave faster and cheaper, because we build on them instead of next to them. If your setup is different, we look at it in the first call and tell you honestly what changes.
Our supplier quotes are a mess. Will it cope?
That is the point. The proposal agent reads Excel, PDF, scans and email bodies, and flags what it cannot read with confidence. We start with your most common formats and add the rest one at a time.
Where does our client data go?
It stays in the region you choose, with an AI service that works under a data processing agreement and does not train on your data. Health details, ID documents, net rates and margins never reach the AI at all.
What does it cost?
One fixed price for a defined scope, agreed after a short look at how your proposals are made today. You know the price, the content and the date before you sign.
How fast can we start?
A first wave takes about six weeks from kick-off. The first agent runs on your real enquiries in the second week.
Tell us how a proposal gets made in your agency today. We will show you where the hours go.

Why ARIADNE? In the myth, Ariadne gave Theseus a thread to find his way through the labyrinth. Every trip file is a small labyrinth of emails, quotes and rules. ARIADNE is the thread.
